Rates Effective: September 01, 2023

 

Motor Pool vehicles are available to WV State Employee's for use on official state travel billed to departmental accounts. All drivers must present a valid U.S. Driver’s license in order to secure a vehicle from the Motor Pool.

 

OFFICE & GUARD FACILITY HOURS: The Motor Pool office is open from 8 a.m. to 4 p.m., Monday through Friday. The Capitol Complex Motor Pool Kiosk is open 24/7 for your convenience on the Laidley Field Parking Lot.

DAILY RENTAL RATES: include service within the continental United States. Fuel and mileage are no longer offered. However, there will be a fuel card located with the vehicle for agency use. All receipts must be kept in the designated fuel folder located in the glove compartment of each vehicle.

LONG TERM RENTAL RATES: Monthly long term use of daily rental units are available on a limited basis and for a maximum of six months. If you have a long-term need for a vehicle, please call the Motor Pool office and discuss the requirements for an addition to the fleet. Permanently assigned vehicles are available at lower monthly rates.

RESERVATIONS: Daily rental reservations may be requested by calling 1-855-817-1910 or, by completing a reservation form on the Motor Pool website. In the event the Motor Pool does not have a vehicle available employee's may reach out to their Agency Fleet Coordinator for further guidance.

VEHICLE CHECKOUT: Keys may be released via Kiosk 15 minutes prior to start of reservation.

LATE RETURNS OR CANCELLATIONS: If a late return is anticipated, contact the Motor Pool dispatcher immediately (855-817-1910). A late penalty of one additional day charge may be accessed if prior notice of a late return is not given. Cancellations must be made four hours before travel to avoid an automatic cancellation or a minimum charge. Vehicle charges are computed from the time a vehicle is picked up to the time it is returned. The rental day begins and ends at midnight.

LESS THAN FOUR HOURS USE: Use of a vehicle for less than four hours will be charged 1/2 of Daily Vehicle Rate.

SEAT BELT USE: WV State policy requires the use of passenger restraints in all vehicles in which they are provided. Vehicles are also equipped with passenger, driver, and side air bags, but these are NOT substitutes for lap and shoulder belts. Be SAFE … BUCKLE UP!

SMOKING IN VEHICLES: Drivers and passengers are prohibited from smoking in State vehicles. Violations may be subject to discipline and additional clean up charges by the Motor Pool.

VEHICLE DAMAGE: Departments are responsible for a deductible payment in the event of a chargeable loss due to damage resulting from the use of a vehicle. WV Board of Risk and Insurance Management (BRIM) administers the insurance program. All accidents must be reported immediately or as soon as practical. Please refer to the Accident Procedures Manuel located in the state vehicle for additional details. Forms may also be found under the Document section on the motor pool website.
